The challenge
Producing and passing on job sheets was laborious and error-prone. Up to 100 pictures per job had to be copied into customer reports by hand. Mislaid or late sheets wasted time and could mean work was never invoiced.
Admin only learned job status when paperwork came back, sometimes days later. Paper records made ISO 9001 compliance and continual improvement slow.
The solution
“We’d been keeping an eye on products like Pro Pal for years. We initially thought they might be a bit OTT for us but as our reporting requirements grew we saw that it was much more work not having the system.” Larger contracts were starting to require electronic capture.
Pro Pal proved its worth within two weeks of trial. Rollout started with the Deep Clean team (most pictures), then Window Cleaning (most job sheets).
The result
Data quality is better and nothing is lost. Missed jobs are failed on the system immediately. Client disputes are “literally down to zero.” Dashboards alert Mike Aldridge, MD, to problems as they develop.
